To add parcels for a tax office to your portfolio, navigate to the overview page, and search for the tax office by entering the tax office name in the search field under Filter Results. The tax office will populate.
To add this tax office to your portfolio, click "Add Tax Office".
To proceed with adding parcels, click "View Items" under the tax office.
There are two options:
Search by Item (parcel) number:
Type in Item number in the search field and click "Search Billing Data".
Once item populates, click “Add Parcel Subscription”.
Upload Items (Parcel) List:
To upload a parcel list, create a spreadsheet in either Comma Delimited CSV or Excel format using the file specifications so the item (parcel) list has the correct format.
**The file should not have header rows and the item numbers should start from column A, cell 1, going downwards. The rest of the columns can be blank. (Unless you want to add additional information such as a loan number, etc.)
**If the parcel format is correct the only mandatory field to upload parcels is Column A.
Column A: Item (Parcel) Number. Mandatory field.
Column B: Loan Number or Internal number. Optional Field.
Column C: Leave this blank. Only used by mortgage company using customer codes. Optional Field
Column D: Address, Owner name or Internal reference number. Optional Field
Column E: Internal Amount. When entering the internal amount (the recorded amount you intend to pay), downloading the Balance Report will show any positive or negative discrepancies between this amount and the tax data provided by the tax office in EscrowCloud. Ensure the amount does not include a dollar sign. (e.g., 123.12) Optional Field
Column F: Installment Indicator. This can be used with tax offices that collect more than one installment per year. If you are paying the current year installment this can be blank. If paying both you can enter 2. The system will then upload the parcel for the total amount of both installments. Optional Field
By default, uploading an item file will delete the existing items on your portfolio and add the new items. To avoid this from happening, click under "What about your existing portfolio" and choose “Update items/ Add new Items”.
To upload your item file, drop or click to find your file.
